The Video Pipeline That Collects Its Own Approvals

The goal: Take a video from brief to delivery with the client approving every stage inside one platform.

The situation

Getting a video made meant coordinating by hand at every step. Scripts went out by email, storyboards landed in a different thread, feedback arrived across whichever channel the client happened to use, and nobody had a single place to see what stage a project was at. Separately, an extensive video library sat in Google Drive organized into three content categories with nested project folders, none of which existed in the review platform the team actually worked in.

What we built

A production pipeline where Frame.io is the one place clients look, and every stage gate is an approval inside it. A portal starts a project, and from there script, storyboard, and final video are generated and pushed into Frame.io for review in sequence. Alongside it, the existing Drive library was mirrored into Frame.io with its folder structure intact.

How it works

  1. 01A project starts in the portal with a title, a content category, and a choice of where to begin: from a brief, from an existing script, or from a storyboard.
  2. 02Starting from a brief, a structured multi-scene script is generated and sent to Frame.io for client review. Nothing moves forward until it is approved there.
  3. 03On script approval, a storyboard PDF is built with scene visuals, descriptions, and audio information, and shared through Frame.io for the next approval gate.
  4. 04On storyboard approval, the final video is generated, uploaded to Frame.io, and moved toward delivery. Revision requests left as Frame.io comments feed back into the pipeline and return an updated cut for another review cycle.

The challenges we solved

  • Approval had to be a genuine gate rather than a suggestion. Each stage waits on an explicit approval in Frame.io, which is what stops a project from being rendered against a brief the client already changed their mind about.
  • Revision requests arrive as free-form comments, not structured tickets. Those comments had to be routed back into the correct regeneration step so a note on the script does not re-render a finished video.
  • The existing Drive library spanned three content categories with multiple project folders and nested subfolders. The migration recreates that hierarchy exactly inside Frame.io, preserving folder and file names, and keeps watching for newly added videos to transfer automatically.

The result

Projects now move from brief to delivery through three approval gates the client handles in one platform, and the media library stays mirrored between Drive and Frame.io without anyone creating folders or uploading files by hand.
